  • property listing websites (such as realestate.co.nz, Trade Me Property, and OneRoof) where you submit an enquiry;
  • social media and digital advertising platforms (such as Facebook, Instagram, and Google Ads);
  • enquiries submitted through our website;
  • referrals from other real estate agents or third parties; your legal representatives, lenders, or mortgage brokers; and
  • publicly available sources, including property records and local council information.

  • We collect your personal information for the following purposes:
  • to respond to your enquiries and provide you with information about properties, appraisals, and our services;
  • to market, list, and facilitate the sale or purchase of property, including arranging inspections, open homes, and negotiations;

  • property listing and advertising platforms (such as realestate.co.nz, Trade Me Property, OneRoof, Facebook, Instagram, and Google Ads);
  • professional advisors and parties involved in property transactions, including lawyers, conveyancers, mortgage brokers, lenders, building inspectors, and valuers;
  • other real estate agents within our office and network;
  • an actual or potential buyer (and its advisors) in connection with the proposed purchase or merger of any part of our business; or
  • regulators, law enforcement bodies, government agencies, courts and other dispute resolution providers.

Currently, the following third-party providers are located overseas:

  • Microsoft OneDrive (cloud storage services) is located in Australia and/or other jurisdictions where Microsoft operates data centres.
  • CRM and real estate software providers (including platforms used to manage client and property data) located in Australia and
  • digital marketing and advertising platforms (including Facebook, Instagram, and Google Ads) located in the United States and other overseas jurisdictions.

Where we disclose personal information to third-party providers overseas, we take reasonable steps to ensure that the recipient is subject to privacy safeguards that are comparable to those under New Zealand privacy law, including by entering into contractual agreements or relying on the provider’s privacy policies and security standards.

 

How We Hold and Protect Personal Information

We take all reasonable steps to ensure that the personal information we collect, use, and disclose is stored securely and protected from unauthorised access, modification, or disclosure.

Personal information is held in:

  • Our CRM systems are used to manage client and property information
  • secure cloud storage systems, including Microsoft OneDrive
  • electronic systems used for communication and marketing
  • physical files stored securely within our office (where applicable)

We take reasonable steps to protect personal information, including:

  • restricting access to authorised staff only
  • using secure systems and password protection
  • maintaining internal policies and procedures for handling personal information

Some of our service providers may store data overseas. Where this occurs, we take reasonable steps to ensure that those providers are subject to privacy safeguards comparable to those under New Zealand privacy law.

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, and as otherwise permitted or required by law. When personal information is no longer required, we will take reasonable steps to securely delete or de-identify it.

 

Rights to Access and Correct Personal Information

Subject to certain grounds for refusal set out in the Privacy Act, you have the right to access the personal information that we hold about you and to request correction of that information.

Before you exercise this right, we may require evidence to confirm that you are the individual to whom the personal information relates.

If you request a correction and we agree that the correction is reasonable and we are reasonably able to change the information, we will make the correction. If we do not make the correction, we will take reasonable steps to note on the personal information that you requested the correction.
